Keep your credentials current

Your COIs, business licenses, manufacturer certifications, and trade licenses decide whether you are eligible for work. Keep them on file in the Partner Portal so a client can verify you without an email chain, and so an expiration never surprises you mid-project.

Before you start

  • You are signed in to the Partner Portal with a role that can write. If the Add credential button is grayed out, your account is read-only; ask a partner admin at your company to add it.
  • Have the credential details at hand: issuer, credential or policy number, and the valid-until date.

Add a credential

  1. Open the Credentials tab. The header counts what you have on file, what is expiring soon, and what has already expired.
  2. Click Add credential.
  3. Pick the Category: business license, COI (general liability, workers comp, or commercial auto), manufacturer certification, trade license, safety certification, or other.
  4. Decide the Scope. Leave the box unchecked for a global credential, or check Tenant-scoped (this client only) to attach it to the client you are currently working in.
  5. Fill in the Type / Name (for example "Illinois Low-Voltage Contractor License"), plus the issuer, credential or policy number, and jurisdiction. For a COI, also enter the coverage amount and, if the client requires specific wording, the named insured.
  6. Set Valid from and Valid until, then click Add credential.

TIP

Global or client-scoped? Manufacturer certifications and state-issued licenses are usually global, since they apply everywhere you work. A COI written to one client's coverage requirements, with their named-insured wording, belongs scoped to that client.

Read the status at a glance

Each credential row carries a status pill computed from its valid-until date:

StatusMeaning
ValidMore than 30 days until the valid-until date
Expiring soonWithin 30 days of expiring
ExpiredPast the valid-until date

The Partner Portal home also surfaces expiring and expired credentials in its attention cards, so a renewal stays on your radar even when you are not looking at the Credentials tab.

When a credential renews

Add the renewed credential as a new entry with the new dates, then remove the old one (trash icon on the row, with a confirmation). Removal is permanent, but you can re-add a credential at any time.

Result

Your compliance file is current and visible to the clients you work for. The next expiration shows up as an amber "expiring soon" pill 30 days out instead of as a blocked job.
